Workflow
Create business rules to make your staff more efficient and therefore profitable
The purpose of case management should be to help you manage more effectively, but unfortunately most programs on the market are nothing more than glorified databases! At Synaptec, we have worked for over twenty years to make LawBase more than that. The latest addition is our new graphical workflow module. Added to existing features such as Smart Folders™, Query Wizard Reporting and web access to information, we believe that LawBase provides you with the management tools necessary to operate a modern law office.
As a busy professional, how are you kept informed of important changes in the matters for which you are responsible? Emails? Voice Messages? Bumping into associates in the hallway? Wouldn't it be better if you were informed automatically each time certain conditions were met?
The Graphical Workflow module makes your staff more efficient because tasks can be grouped together and updated automatically rather than your staff having to complete each step manually.
Flexibility has always been the strength of LawBase, so of course, you have total control on how and when you are updated. You can automatically create emails; add tasks and appointments to your calendar; update other file information; and, may other tasks using this tool.
Best of all, this is totally graphical so that you do not need to learn any complex scripting language to create these workflows. You can link individual events together to form more complicated workflows matching your existing business practices.
How can this help your practice? One sample of the power of this tool is included. Of course, we would be happy to discuss with you how Graphical Workflow could be beneficial to your office.
Example of a Contract Workflow:
This workflow example shows a client using LawBase to track Contract reviews. In this example, the office tracks both Real Estate and Purchase contracts. The work items that need to be completed are different depending upon the type of contact. The workflow on the left side is for Real Estate and the one on the right, which is explained step by step below, is for Purchase contracts.
A field in LawBase determines the type of contract. Based upon that information, the following steps occur.
Step 1 LawBase sends an email to the attorney assigned to the matter advising him or her that they have been assigned to handle this matter.
Step 2 LawBase sends an email to the Purchasing Department telling them that the legal department has the contract, has opened a file, and which attorney has been assigned to the matter.
Step 3 LawBase creates a reminder on the calendar of the assigned attorney.
Step 4 LawBase constantly checks to see when the contract review has been completed. When it has, the next step is triggered.
Step 5 LawBase completes the workflow by sending an email to the supervising attorney advising them that the work has been completed. LawBase records the completion in the history portion of the file.
